(For groups of 6 persons or more)
1. Scope of Application
These terms apply to accommodation, catering, and related services provided by Camp FinLake when the booking concerns a group of at least six (6) persons.
The person making the reservation must be at least 18 years old and legally competent, and is responsible for all obligations related to the booking on behalf of the entire group.
2. Booking and Confirmation
A reservation becomes valid when:
- Camp FinLake has confirmed the booking, and
- The customer has paid the agreed advance payment
Camp FinLake will provide a written booking confirmation by email.
3. Payment Terms
To confirm the reservation, the customer must pay an advance payment of 50% of the total booking price.
The remaining balance is due no later than 15 days before arrival, unless otherwise agreed.
Camp FinLake issues one (1) combined invoice for the entire group. The person making the reservation is responsible for full payment.
If payment is not made by the due date, Camp FinLake reserves the right to cancel the booking and retain the advance payment.
4. Check-in and Check-out
Accommodation is available to the group from 2:00 PM on the day of arrival and must be vacated by 12:00 noon on the day of departure, unless otherwise agreed.
The group must inform Camp FinLake of the estimated arrival time in advance. Any significant schedule changes must be communicated without delay.
5. Cancellation Policy
Cancellations must be made in writing or verbally. A cancellation is considered valid once it has been received by Camp FinLake.
Cancellation terms and fees:
- 45 days or more before arrival:
Advance payment is refunded minus a €50 administration fee
- 44–15 days before arrival:
50% of the total booking price will be charged
- 14 days or less before arrival:
100% of the total booking price will be charged
Failure to arrive is considered a late cancellation, and the full booking price will be charged.
6. Changes to the Booking
Any changes to the booking must be requested well in advance.
Camp FinLake will make every effort to accommodate changes but cannot guarantee them. Changes may affect the total price, and the customer is responsible for any additional costs.
7. Use of Accommodation and Responsibilities
The person making the reservation is responsible for ensuring that all group members comply with Camp FinLake’s instructions, house rules, and these terms.
Guests must use all facilities with care. The group is fully liable for any damage caused to accommodation, property, or the surrounding area.
Camp FinLake reserves the right to terminate the stay or event immediately without refund if the group causes disturbance, endangers safety, or seriously violates these terms.
8. Cleanliness
The group must leave all used facilities in a reasonably clean condition reflecting normal use.
Camp FinLake reserves the right to charge an additional cleaning fee if the premises are left in an exceptionally dirty condition.
9. Responsibility
Camp FinLake is not responsible for guests’ personal belongings.
Guests are advised to have travel insurance to cover illness, cancellations, or damages. Camp FinLake is not obligated to deviate from the cancellation policy in cases such as illness.
10. Force Majeure
Camp FinLake reserves the right to cancel a booking due to force majeure, such as natural events, official regulations, or other unforeseen circumstances beyond its control.
In such cases, all payments made will be refunded in full. No additional compensation will be provided.
11. Customer Information Obligations
The customer must provide the following information to Camp FinLake no later than 14 days before arrival:
- A name list of all group members and room allocation (if applicable)
- Estimated arrival and departure times
- Meal schedules and any dietary requirements
- Any other special requests related to the stay
12. Events, Celebrations, and Group Dining
These terms apply to all events, meetings, and dining services organized by Camp FinLake, regardless of whether accommodation is included.
12.1 Duration and Use of Premises
The reserved space is available for the agreed time stated in the booking confirmation.
Additional time will be charged separately according to the price list.
The customer is responsible for vacating the space on time. Setup and dismantling times must be agreed in advance.
12.2 Confirmation of Number of Guests
The final number of participants must be confirmed no later than 7 days before the event, unless otherwise agreed.
Billing is based on the confirmed number. Additional participants may be charged separately if capacity allows.
12.3 Catering and Dietary Requirements
Catering and menus must be agreed in advance.
Special dietary requirements and allergies must be communicated no later than 7 days before the event.
Camp FinLake cannot guarantee last-minute changes.
Camp FinLake reserves the right to substitute ingredients with similar products based on availability.
12.4 Bringing Own Food and Drinks
Bringing own food and beverages is only allowed by prior agreement. Camp FinLake reserves the right to charge a service fee.
Alcohol policies follow applicable laws and Camp FinLake’s licensing regulations.
12.5 Setup and Equipment
Furniture arrangements and special setups must be agreed in advance.
Camp FinLake provides standard equipment as specified in the booking confirmation. Additional equipment and technical services will be charged separately.
The customer is responsible for careful use of all equipment and for any damage caused.
12.6 Program, Music, and Noise
Any program, performers, or music must be communicated in advance.
The customer is responsible for obtaining any required licenses and payments (e.g. copyright fees such as Teosto).
All events must respect Camp FinLake’s noise regulations and other guests.
12.7 Decorations
Decoration plans must be agreed in advance.
Fixing items to structures, use of open flames, pyrotechnics, confetti, or similar elements is only allowed with prior approval from Camp FinLake and, if required, fire authorities.
The customer is responsible for any damage or additional cleaning caused by decorations.
12.8 Cleaning
Standard final cleaning is included unless otherwise agreed.
If the premises require exceptional cleaning, Camp FinLake reserves the right to charge an additional fee.
12.9 Weather Conditions
Weather conditions are not valid grounds for cancellation of outdoor events.
Any backup arrangements (e.g. indoor spaces or tents) must be agreed separately. Camp FinLake is not responsible for weather-related changes or associated costs.
12.10 Responsibility for Participants
The person making the reservation is responsible for all participants and their conduct on Camp FinLake premises.
The customer is liable for any damage caused by participants.
12.11 Event Cancellation Policy
Unless otherwise agreed, events follow the same cancellation terms as group bookings.
Camp FinLake reserves the right to define separate cancellation terms for large-scale or customized events.
13. Applicable Law and Disputes
These terms are governed by Finnish law.
Any disputes will primarily be resolved through negotiations. If no agreement is reached, disputes will be settled in the Pirkanmaa District Court.
